Guide for foreigners

What is a rirekisho, and how do you fill it in?

A rirekisho (履歴書) is the personal-history form that accompanies almost every job application in Japan. It is short, standardised and factual — the persuasion happens in your 職務経歴書 (work history) and at the interview. These are the points that trip foreign applicants up most often.

Photo

Use a recent 40 × 30 mm studio-style portrait in business attire against a plain background. Avoid selfies and filters.

Be consistent with dates

Pick 西暦 or 和暦 and use it everywhere, including your birth date and the document date.

Names and furigana

Write your name as on your residence card. Match the reading to the label: ふりがな takes hiragana, フリガナ takes katakana.

Timeline conventions

List 学歴 then 職歴, oldest first, with companies written as 株式会社… and a “入社 / 退職” line for each. End with 現在に至る and 以上 aligned right.

Visa status

If you already hold a work-eligible status, say so in the preferences box, e.g. “在留資格:技術・人文知識・国際業務(期限 2028年3月)”. It saves HR a round trip.

Language level

List JLPT results (or equivalent) under 免許・資格 and mention your level in the self-PR. Do not leave boxes blank — write 特になし if nothing applies.

FAQ

Rirekisho Maker – frequently asked questions

Is the Rirekisho Maker really free?

Yes. Building, editing and previewing your 履歴書 is free and needs no sign-up. Downloading the finished PDF requires a free JPNJob account, which also lets us save your draft so you can come back to it.

What is a rirekisho (履歴書) and do I need one?

A rirekisho is the standard Japanese résumé: a form listing your personal details, education, work history, qualifications and motivation. Most Japanese employers expect one, usually together with a shokumu keirekisho (職務経歴書), which describes your work experience in detail.

Should I use the Western calendar (西暦) or the Japanese calendar (和暦)?

Either is accepted, but be consistent across the whole document. Foreign applicants usually choose 西暦 (e.g. 2026). Use 和暦 (e.g. 令和8年) if the employer or the application form uses it. You can switch with one click and every date updates automatically.

What size should my ID photo be?

The traditional rirekisho photo is 40 mm tall × 30 mm wide, taken within the last three months, facing the camera against a plain background, in business attire. Upload a JPG, PNG or WebP and the tool crops it to the correct 4:3 portrait frame.

Do I have to write everything in Japanese?

For Japanese-language roles, yes: the form, your history and your self-PR should be in Japanese. For English-speaking or international companies, an English or bilingual version is often fine. Your name can be entered in katakana, romaji or both, and the tool supports all of them.

How do I save the PDF correctly?

Click Download PDF, choose “Save as PDF” as the destination, set the paper size to A4, margins to “None”, and turn off “Headers and footers”. Both pages are exported in order, ready to email or print.

Is my personal information safe?

Your draft is autosaved in your own browser. Your photo is processed in the browser and is not uploaded unless you are signed in, in which case your draft is also stored in your JPNJob account. Use Reset at any time to clear everything from the page and from this browser.

What are the commute time and family fields for?

Traditional layouts include commute time, number of dependents and spouse fields. Japan’s Ministry of Health, Labour and Welfare has published a model form that leaves these out, so many employers no longer require them. Untick “Show commute & family fields” to remove them from your sheet.
